    How to score

    1. Score each pillar from 1–5. Give 1 if almost none of the checklist is true, 5 if nearly all are true.
    2. Be honest—this is a diagnostic, not a report card for Instagram.
    3. Add the five pillar scores for a total out of 25.
    4. Circle your band (Foundation / Traction / Scale-ready) and pick one next action this week.

    Five pillars

    Visibility (SEO / Google Business Profile)

    Can ideal clients find you locally when they search for help?

    • Google Business Profile is claimed, fully filled out, and posting regularly
    • Primary categories and services match how clients actually search
    • You have recent reviews and a simple system to request them
    • NAP (name, address, phone) is consistent across major directories
    • Local pages or service pages target your real service areas

    Website conversion

    When someone lands on your site, do they understand who you help and what to do next?

    • Homepage clearly states who you help, the outcome, and the next step
    • Primary CTA is obvious above the fold on mobile and desktop
    • Service pages answer objections (fees, insurance, approach, fit) without clutter
    • Contact / intake path takes under 60 seconds to start
    • Trust signals (credentials, reviews, photos) are specific—not generic stock claims

    Intake follow-up

    Do inquiries reliably become booked consults or first sessions?

    • Every inquiry gets a same-day response during business hours
    • You have written follow-up sequences for no-reply and no-show leads
    • Scheduling links or booking options remove unnecessary back-and-forth
    • Someone owns the inbox / phone—even when the clinician is in session
    • You track inquiry → booked → attended conversion monthly

    Capacity & hiring

    Can the practice grow without you becoming the bottleneck?

    • You know your personal capacity limit and ideal caseload
    • You have a written associate compensation model and break-even math
    • Hiring criteria, onboarding, and supervision expectations are documented
    • Admin / intake support exists before clinician capacity collapses
    • You can describe the next hire in one paragraph (role, timing, economics)

    Paid acquisition readiness

    If you turn on ads, is the offer and tracking strong enough to learn quickly?

    • You have a clear ideal-client offer and geographic focus
    • Landing page / website can convert cold traffic (not just referrals)
    • Call tracking or form tracking is in place before spending meaningfully
    • You know target CPL / cost per booked consult for your fees
    • Someone reviews ads weekly and can pause losers fast

    Score bands

    Foundation (512 / 25)

    Core acquisition and intake systems are missing or inconsistent. Fix the leaks before spending more on ads or hiring.

    Traction (1318 / 25)

    Some pieces work, but growth still depends on you. Tighten conversion, follow-up, and local visibility before you scale spend or headcount.

    Scale-ready (1925 / 25)

    You have enough foundation to grow on purpose. The next constraint is usually capacity, associate economics, or paid acquisition.
